Privacy Policy
Staging draft for owner and legal review. This page is not approved and is not on the live site. Items marked “Owner review” or “Legal review” must be confirmed or completed, and the final text should be reviewed by a qualified attorney, before it is published.
Effective date: October 21, 2026. This policy applies from that date. It does not change the terms of any agreement made before that date unless the agreement says so or the law allows it. [Legal review: the effective date (October 21, 2026) is earlier than the date this draft was prepared and will be earlier than its publication on the live site; confirm whether the effective date should instead be the live publication date]
This Privacy Policy explains how NexSteps, LLC (“NexSteps”, “we”, “us”), which operates under the name NexSteps Digital Solutions, collects, uses, shares and keeps personal information through nexsteps.us (the “website”) and when you contact us. It covers our digital services, Meds & More, Books & Publishing, the eBook Store, the Books Marketplace and NexSteps SignAge. [Legal review: confirm that NexSteps, LLC uses the name “NexSteps Digital Solutions” and whether an assumed-name filing is needed]
1. Information you give us
We collect the information you choose to send us through our website forms, by email or by phone. Depending on the form, this may include:
- Consultation and quote requests (including Quote My Next Book): your name, email address, phone number (optional), business name, website, the service you are interested in and your message.
- Meds & More meeting requests: your name, professional role, practice or organization, business email, and optionally your phone number, practice website, specialty, city and state, preferred meeting times and message. Please do not send patient names, diagnoses, medical records, insurance details or any other patient health information through the website.
- Sell Your Books submissions: your name, email address, phone number (optional), whether you are the author, publisher or owner of the copies, and book details such as title, author, listing type, genre, condition, asking price, copies available, ISBN (optional), a short description and a cover image. We do not accept manuscripts through the website.
- Books Marketplace introduction requests: your name, email address, phone number (optional), the number of copies you want and an optional message to the seller.
- NexSteps SignAge package and early-access requests: your contact and business details, the package you selected and information about your screens. [Owner review: confirm this matches the final SignAge signup form fields]
2. Information collected automatically
- Essential cookies. The website uses cookies set by WordPress and WooCommerce that it needs to work, for example to keep items in a cart, keep a session active and keep signed-in users signed in.
- Server logs. Like most websites, our hosting provider records technical information such as IP address, browser type and the pages requested, for security and to keep the site running. [Owner review: confirm how long the hosting provider keeps these logs]
- Website assistant. The chat assistant on our website is rule-based (it is not generative AI). It does not store conversation text, names or contact details; it keeps only aggregate counts of how it is used. If you use it to send us a request, that request is handled like any other form submission.
We do not currently use advertising cookies, tracking pixels or third-party analytics on this website. [Owner review: update this section before adding analytics, advertising pixels, a translation widget or any other third-party script]
3. Payments
The website does not currently take online payments, and submitting a form never creates a charge. When online checkout is introduced, card payments will be handled by our payment processor [Owner review: name the processor, for example Authorize.Net, once live] and NexSteps will not store full card numbers.
4. How we use your information
- To reply to you, prepare quotes and proposals, and arrange meetings you request.
- To review Sell Your Books submissions and, if approved, display the listing in the Books Marketplace. Approved listings show book details and the cover image; your contact details are not shown publicly.
- To pass a Books Marketplace introduction request to the seller of that listing, as described below.
- To provide services you have agreed to in writing, and to keep business, tax and accounting records.
- To protect the website and our users, for example by blocking spam.
- To comply with legal obligations.
We do not sell your personal information. We do not use form submissions for marketing emails unless you have agreed to receive them. [Owner review: confirm whether NexSteps will send marketing emails and how people opt in]
5. How we share information
- Books Marketplace sellers. When you request an introduction, we share your name, contact details and message with the seller of that listing, as you agree on the request form. [Owner review: confirm what seller contact details are shared with the buyer]
- Service providers. We use providers who host our website and handle our email, including Namecheap (hosting) and Google (email). They process information to provide their services to us. [Owner review: list any other providers, such as the host of the hello@nexsteps.us mailbox]
- Team members and subcontractors who help us deliver services, under confidentiality obligations.
- Legal reasons. If required by law, or to protect our rights, our users or the public.
6. International processing
Some of our subcontractors and service providers may work or process information outside the United States. We share personal information with them only where it is necessary to provide our services, and under written terms that include confidentiality, security and any data-protection safeguards that applicable law requires. [Legal review: NexSteps has not yet listed which subcontractors process information outside the U.S., in which countries, or which contract terms are in place; confirm the subcontractor agreements exist and contain these terms before publishing this section]
7. Health information
The website is not designed to receive patient health information, and our forms ask you not to send it. Where a Meds & More service may involve patient information, that is covered by a separate written agreement with the practice, including a business associate agreement where one is required, before the service begins. [Legal review: confirm the HIPAA approach, including whether any offshore subcontractor may access patient information]
8. How long we keep information
We aim to keep personal information only as long as we need it:
- Prospect and customer records (such as inquiries, quote and meeting requests, and related correspondence): up to 24 months after our last meaningful interaction with you.
- Accounting records: generally 7 years.
- Consent and transaction records: as long as needed for legal, contractual and dispute purposes.
- Backups: we aim to delete backup copies within 90 days.
These are our retention targets. Some records may be kept longer where the law requires it or to resolve a dispute. [Owner review: these targets are not yet automated: website form submissions and marketplace records are stored in WordPress with no automatic deletion, copies in business email are not automatically deleted, and Softaculous local website backups are purged after 28 days while other backup copies (including hosting-provider backups and manual copies) have no confirmed deletion schedule. Put a review-and-delete process in place before relying on these targets]
9. Security
We use reasonable administrative and technical measures to protect personal information. No website or email system is completely secure, so we cannot guarantee absolute security.
10. Your choices and rights
You can ask us to access, correct or delete the personal information we hold about you, or to stop contacting you, by emailing hello@nexsteps.us. Depending on where you live, you may have additional rights under applicable law, and we will respond as that law requires. [Legal review: confirm which state privacy laws apply to NexSteps and whether any required notices or response timelines must be added]
11. Age
The website is intended for adults and businesses. You must be at least 18 to request services, enter into an agreement or make a purchase with NexSteps. We do not knowingly collect personal information from children under 13, and if we learn that we have, we will delete it.
12. Links to other websites
Our website links to other sites, such as our social media profiles. Their privacy practices are their own, and we encourage you to read their policies.
13. Changes to this policy
We may update this policy from time to time. We will post the updated version on this page with a new effective date.
